What does California Exposition & State Fair do?

The California Exposition & State Fair is responsible for managing the operational and logistical infrastructure of one of California’s largest annual public events, ensuring seamless execution of exhibitions, concerts, and state fair activities. Its core mission centers on delivering safe, well-supported, and efficiently managed public experiences through comprehensive facility and event services. Strategic priorities include maintaining secure environments, provisioning temporary event infrastructure, and sustaining high standards of cleanliness and utility support across a dynamic, high-traffic venue. Key programs focus on security operations, equipment rental for staging and tenting, and specialized contractor services tailored to transient event demands. The agency procures a wide array of event support services, with dominant emphasis on security personnel, rental of temporary structures and heavy equipment, and facility maintenance. Contracting frequently utilizes indefinite-delivery, indefinite-quantity (IDIQ) vehicles and competitive bidding mechanisms such as IFBs and CST solicitations to secure multi-year service agreements. Procurements are structured to ensure scalability, rapid deployment, and operational continuity across the fair’s seasonal and event-driven calendar. Primary procurement categories include Security Guards and Patrol Services, General Rental Centers for staging and tenting equipment, and Office Administrative Services to support event coordination. Additional needs span janitorial, electrical, and parking services, reflecting the full spectrum of temporary infrastructure and operational support required for large-scale public gatherings. The agency does not prioritize set-asides and engages vendors across broad market segments without demographic or size-based preferences, favoring proven capacity and reliability over certification status. As a division of the California State Departments, the California Exposition & State Fair operates from a fixed state-owned campus in Sacramento, managing all physical and logistical aspects of its annual event and year-round facilities. It relies on standard state procurement vehicles including competitive sealed bidding and request-for-proposal processes to acquire services essential to public event delivery.
