Audio Visual Integrator Services

The Texas A&M University System is seeking qualified audio visual (AV) integrators through a solicitation for statements of qualifications to establish a non-exclusive Master Services Agreement for the design, procurement, and installation of AV systems across its campuses and facilities. The scope includes support for a broad range of AV environments such as classrooms, laboratories, performing arts venues, stadiums, SCIFs, virtual reality setups, and AI-enabled learning spaces, requiring close collaboration with owner representatives, architecture and engineering teams, and construction contractors. The agreement will run through August 31, 2029, with possible extensions of two additional one-year periods, totaling a maximum term of five years. Work will be executed via individual Order Forms, with pricing determined by a fee rate schedule and negotiated on a project-by-project basis, incorporating detailed cost breakdowns for equipment, labor, travel, per diem, and applicable discounts. Respondents must demonstrate experience across these AV domains, possess knowledge of current technologies and best practices, and show proven performance on past projects involving higher education environments. All services must be performed in Texas and integrated into the A&M System’s e-Builder project management platform. Submission must be made electronically by June 23, 2026, at 2:00 p.m. Central Time, in two PDF files labeled by company name, and must include mandatory attachments: a signed Execution of Offer, a notarized Non-Collusion Affidavit, and, for contracts exceeding $100,000, a State of Texas Subcontracting Plan. Proposals are subject to pass/fail gates, including responsiveness to RFQ requirements and clean reference checks, with disqualification possible for negative references or non-compliance. Evaluation is based on five criteria—qualifications, company background, past performance, technological expertise, and pricing methodology—with the award determined by overall best value to the system, favoring Texas-based businesses if qualifications are equal. Successful respondents must meet stringent insurance requirements including general, auto, umbrella, and workers’ compensation coverage on an occurrence basis, with bonds using A&M System forms if applicable. They must also comply with federal and state civil rights laws, certify absence from foreign adversary or NDAA restricted entity lists, adhere to Texas tax compliance, maintain OSHA standards, secure appropriate state licensure, and avoid hazardous materials without prior approval.
