Fleet Vehicle Repairs and Services

The City of Kawartha Lakes is seeking up to five qualified and licensed shops to provide comprehensive maintenance and repair services for its fleet of approximately 150 light and medium duty vehicles, including cars, vans, trucks, buses, and plows. These services will be provided on an as-and-when-required basis, with the awarded vendors responsible for supplying all necessary labor, parts, and materials. The contract includes specific performance standards, requiring preventative maintenance to be completed within 24 hours and emergency repairs to be finished within 48 hours of arrival, subject to parts availability. The initial term runs from the date of award through September 30, 2027, with the City holding the option to renew for four additional one-year terms through September 30, 2031. The procurement process utilizes a total score ranking system based on technical evaluation and pricing, with a pass/fail requirement for references. Mandatory submission documents include the Respondent Profile and Experience and the Approach and Methodology. Selected vendors must maintain full insurance and Worker’s Safety Insurance Board coverage, and all work must be performed by competent, licensed tradespeople and approved by a certified supervisor. Payment terms are net 30 days in Canadian funds. The submission deadline is October 1, 2026, with the anticipated execution of the agreement occurring in October 2026.
