DESCRIPTION/SPECIFICATION/WORK STATEMENT
ANNUAL COOPER-ATKINS TEMPTRAK SENSOR CALIBRATION
I. BACKGROUND & PURPOSE The Martinsburg Veterans Affairs Medical Center (VAMC) and associated Community Based Outreach Clinics (CBOC s) Pharmacy Service require critical TempTrak sensor annual certification. The primary objective of the annual calibration is to provide Veterans Affairs (VA) staff with accurate and reliable temperature and humidity sensor readings within critical refrigeration equipment. This will allow VA Pharmacy Service staff to precisely monitor pharmaceutical assets enhancing patient care and safety. The secondary objective of the annual calibration is to provide VA Pharmacy and Facilities Management services documentation/certification of sensor calibration enabling a track record of sensor accuracy data to be maintained. The purpose of this contract is to calibrate the identified sensors and provide documentation thereof.
II. SCOPE & OBJECTIVES The contractor must provide all labor, materials (to include replacement batteries for each device), tools, and services necessary to perform on-site calibration of the identified TempTrak sensors. For a list of sensors so identified, please refer to documents A & B in section VIII. Additionally, the contractor must provide all resulting certification documentation for each sensor calibration performed, which is to be uploaded into TempTrak upon completion. For sensor location, physical address and contact/escort information please refer to document A in section VIII.
At all sites, the contractor must check in each day at the front desk then be escorted for the duration of work performance onsite. The government must provide for an escort during normal working hours (0800-1630 M-F, except for federal holidays) to permit sensor access. The contractor must utilize the main parking lot at all sites. If necessary, a designated workspace may be granted by the government at the main Martinsburg VAMC site at BLDG 302A. The contractor must wear masks when required within hospital/clinical buildings and rooms, including any other patient care areas.
III. PERIOD OF PERFORMANCE The VA anticipates a period of performance starting in June 2026 and ending in May 2027, to include final review and approval.
IV. REVIEW & APPROVAL The COR must notify the contractor, in writing, of approval or rejection of each deliverable within 15 calendar days. Any additions or corrections must be completed and returned to the government within 15 calendar days. In the event the government delays comments beyond the period specified, the contractor must be entitled to a day-for-day extension in the final completion.
V. DELIVERABLES & DESTINATION POINT All deliverables must be provided in electronic format to both Pharmacy and Facilities Services via official government email and TempTrak server upload. The contractor must furnish the following deliverables: Closeout package which includes detailed calibration certification results.

VI. GOVERNMENT-FURNISHED PROPERTY No government property must be furnished for the purposes of this contract.
VII. PAYMENT SCHEDULE Upon completion and acceptance of all work, the contractor must be paid a firm-fixed price of $ as referenced in document C in section VIII.
