Request for Proposals for Professional Services for Asset Management System

Scope: The City of Murrieta (City) is seeking competitive proposals from qualified vendors to provide a comprehensive, secure, cloud-based Asset Management System (AMS). The selected system will serve as a centralized platform to manage the City’s physical assets, work orders, inspections, preventive maintenance, service requests, inventory, and field operations across multiple municipal departments. The system must also include a public-facing module to intake resident requests.To meet the City’s operational needs, the proposed solution must include, but not be limited to, the following core capabilities: Asset & Lifecycle Management: Comprehensive tracking of asset condition, maintenance history, warranties, costs, inspections, and preventive maintenance throughout the asset lifecycle. Work Order & Field Operations: Configurable work order workflows, mobile field functionality, crew and staff assignment, inspections, labor and materials tracking, and the ability to reassign work without closing, duplicating, or recreating the original work order. GIS & Customer Service: GIS-based asset and work order management, a public-facing service request portal, duplicate request identification, consolidation of repeated reports, and tools that reduce the administrative burden associated with manually routing service requests. Integrations & Automation: Compatibility with the City’s GIS, ERP, identity management, and other enterprise systems, along with practical automation and artificial intelligence tools that improve routing, identify related requests, and streamline routine administrative tasks. Security & Administration: Secure cloud hosting, role-based access controls, system administration tools, reporting, dashboards, and industry-standard data protection practices.Professional Services are expected as part of the RFP and should include: Provision of project management, system configuration, data migration and conversion, integrations, testing, training, implementation, go-live support, and ongoing technical support.
