Full Description
This bid will be awarded to multiple vendors to fulfill the needs of classroom supplies and equipment District wide. Bids are being requested and will be evaluated on the basis of a minimum fixed discount from bidders’ most current catalog(s), CD(s), or printed price sheet(s) for classroom supplies and equipment in order to produce the lowest net cost for the District. Bidders shall provide a firm fixed discount that will be applied to all items in the vendor’s current catalog(s), CD(s), or printed price sheet(s). Unless a change is deemed in the best interest of the School District there shall not be any discount adjustments during the term of the bid. Discount provided on the bid submittal form shall remain firm throughout the term of the bid. Bidders are encouraged to consider this requirement when offering discounts on the bid submittal form. The intent of this bid is to establish a contract for a period of three (3) years from the date of award of the bid during which time the successful bidder shall guarantee firm discount prices for the item(s) awarded to him as specified in this bid. 2.01 CATALOG BID
A. CATALOG WITH BID All Bidders must submit a web site address or furnish an electronic price list to be used under this contract with their bid submittal.
B. ELECTRONIC CATALOGS Bidders with online catalogs will be required to create a Generic User Name and Password for the School District, when users are logged in they will have a shopping cart and be able to see and do the following:
See Current Catalog Price (Indicate on the Price Sheet if your online catalog price is the Published Catalog Price or is your online catalog done in real time) • See School District’s Discounted Price • See Detailed Product Description • Product Image (picture) • Search by product number/catalog number • Review items in shopping cart and update as needed • Print out shopping cart for generating a purchase order and provide backup for A/P showing the price at the time of purchase if electronic catalog has real-time pricing • Option to pay using a P-Card
C. UPDATING OF CATALOGS Bid pricing will be held to the current catalog in use by all schools and departments. Price increases will not be allowed until a new catalog has been approved by the designated buyer in the Purchasing Department. Once approved, it will be the awarded Bidder’s responsibility to distribute information of updates to each school and department utilizing this bid. Booklets and prices used to adjust catalog pricing will not be acceptable. As catalogs require updates, it is the awarded Bidder’s responsibility to have the following: • Catalog updates must be approved by the designated buyer in the Purchasing Department before effective date and distribution to the rest of the schools/departments. • Distribute catalog updates to all schools and departments with notice explaining new pricing, before effective date. • Establish effective date with buyer after the requirements above have been met. Any price discrepancies, which occur as a result of the awarded Bidder not following the above guidelines, must be honored by the awarded Bidder.
