The first is for corporate knowledge management which is branded as Digital Workspace (DW). This use case is to support all departmental users in providing repositories for corporate knowledge structured at functional/divisional breakdowns typically. The department recently migrated to SharePoint 2016 with a goal to move to SharePoint Online in the near term. The second use case is for legal knowledge management. SharePoint is used as the backend storage solution for documents being managed in the Departmental Legal Case Management system LEX. Each legal case file in LEX has a corresponding document library created in SharePoint to create, store and manage all documents associated to the case. There are currently 38 million documents being managed in approximately 820 thousand LEX document libraries. Access permissions are controlled through the LEX application and synchronized in SharePoint through a third party product; CB Replicator. The Contractor’s SharePoint Developers (Programmer/Analyst – Level 3 and/or Level 2) will propose recommendations for improvements, develop fixes for bugs, adapt the application(s) to new client requests, develop a mobile solution, redevelop code where necessary to improve performance, provide ongoing support, and assist in the upgrade to new versions of SharePoint and or LEX including to the cloud. Bidders must submit a bid for all resource categories. A portion of the work is currently being performed by Cofomo Ottawa (formerly Emerion) under contract since February 2021 (value $3,750,000.00 including taxes).
