The Defense Health Agency issued a Request for Information (RFI) to gather market research on vendors capable of managing Video Teleconferencing (VTC) systems for government facilities. The requirement involves support services for approximately 86 conference rooms at Defense Health Headquarters (DHHQ), including tasks such as conference room scheduling, software upgrades for IAVA compliance, technical support with elevated network access, break/fix touch labor, customer service, and program management. Ancillary equipment inventory and hot swapping of critical components will also be part of the scope. A lifecycle refresh of the VTC equipment is planned within two years, where the contractor will assist by removing outdated hardware and installing newer configurations while supporting the government during the development of new requirements. The RFI explicitly states that it is for informational purposes only and does not constitute a solicitation or obligation for the government to procure these services. It emphasizes that submissions will not be reimbursed and individual capability briefs will not be accepted. The hardware currently in use is categorized by room size and includes various equipment like Cisco codecs, AMX controllers, media players, and other audio-video components. The anticipated labor effort is categorized into standard room facilitation/customer service with about 15,360 hours per year and elevated technical support with about 5,760 hours annually. Responses to the RFI are directed to the Senior Contract Administrator at the DHA, located in Fort Sam Houston, Texas, with the place of performance in Falls Church, Virginia.
