Library RFID System Upgrade

The Town of Ajax and Ajax Public Library are soliciting electronic bids for solicitation T26083 to upgrade the Radio Frequency Identification (RFID) system across three locations: the Main, McLean, and Audley branches. The scope of work encompasses the supply, delivery, installation, configuration, integration, testing, commissioning, and training services required to support circulation, security, tracking, and inventory management of library materials. The contract includes a mandatory five-year warranty for all equipment, with the option for the Town to exercise provisional pricing for an additional two years of coverage in years six and seven, subject to annual Consumer Price Index adjustments. Bids must be submitted in English via the Town's electronic bidding portal by October 22, 2026, at 11:30 AM local time. Evaluation will be based on the overall contract price, the bidder's previous experience, past performance, and the quality of proposed warranties. Selected bidders must provide a minimum of three references, a statutory declaration, and evidence of insurance, including five million dollars in Commercial General Liability and two million dollars in Automobile Liability. The contract is governed by Ontario law, and payments will be made via Electronic Funds Transfer within 30 days of satisfactory delivery and approved invoicing.
