Rental of Event Supplies

Title: Rental of Event Supplies Description of Requirement: The Department of Canadian Heritage (PCH) is looking for a supplier to provide Event Related Equipment and Supplies under a Standing Offer Agreement for various events and celebrations held in the National Capital Region (NCR). The Standing Offer is to be issued for a period of three (3) years with the option of extending it for one (1) additional one (1) year period. This may include events that recur year to year or one-off special events that occur on an as required basis.Duration of Contract: The Standing Offer is to be issued for a period of three (3) years with the option of extending it for one (1) additional one (1) year period. This may include events that recur year to year or one-off special events that occur on an as required basis.Initial Period: From issuance of Standing Offer until April 30th, 2026 Option Period: From May 1st, 2026, until April 30th, 2027 Evaluation Process and Selection Methodology There are mandatory criteria associated with the requirement. The mandatory criteria are as follows: The Offeror must demonstrate that it has a minimum of five (5) years of experience in delivering and installing specialized event supplies.  The Offeror must demonstrate its expertise in assembling stages and temporary outdoor flooring.  The Offeror must provide prices for each item of the standing offer, based on Annex C – BASIS OF PAYMENT.  The Offeror must demonstrate that it can provide all the items and minimum quantities listed, based on Attachment to Annex C – MINIMUM NUMBER REQUIRED PER ITEM.  For a complete list of all mandatory criteria, refer to the solicitation documents. The selection of a successful bidder will be made using the following selection methodology: LOWEST EVALUATED PRICES  Offers will be ranked in order based the lowest total price of items 1 to 58 laid out in Annex “C”, Basis of Payment.     The total costs of each category (daily, weekly, and monthly) will be added to form a single cost. If all other conditions are met, the Offeror with the lowest total cost shall be awarded a Standing Offer.  Security Requirements There are security requirements associated with the resulting contract/standing offer: The Offeror’s personnel providing services on Parliament Hill must each hold a valid Site Access Clearance.
