RFP 26-17 Moving Services

The San Jacinto Community College District is seeking qualified firms to provide comprehensive moving services under RFP 26-17 Moving Services, with proposals due by 2:00 p.m. Central Time on July 9, 2026, via the IonWave portal. The contract, which has a base term of one year and four optional one-year renewal periods, requires firms to deliver relocation services for a wide array of campus assets including office furniture, computer workstations, laboratory equipment, file cabinets, audiovisual systems, and specialty items such as grand pianos and safes. All work must adhere to federal, state, and local regulations, with contractors responsible for supplying all personnel, vehicles, equipment, packing materials, and supervision. The scope mandates precise handling of sensitive electronics using specially designed containers, tri-walled gondolas, air-ride suspension vehicles, and securement with logistic straps, alongside the use of standardized packing supplies including cardboard bin boxes, book cartons, telescoping picture cartons, anti-static bags, shrink wrap, bubble wrap, and protective floor and wall materials. A multi-color labeling system aligned with the College’s building and room numbering is required for inventory tracking, and a supervisor and coordinator must be on-site throughout all operations, with work typically scheduled Monday through Friday from 7:00 a.m. to 5:00 p.m., though evening and weekend work may be required. Proposals must include a complete set of mandatory attachments such as the Qualification Form, Equipment/Fleet List, Organizational Chart, proof of TxDMV and FMCSA compliance, Conflict of Interest form, Insurance Documentation, and the Restricted Terms and Conditions Form, all named according to specified conventions. Pricing must be submitted as firm net unit rates for labor, equipment rentals, and materials via the IonWave Line Items tab, with no off-contract charges allowed. The evaluation is point-based out of 100, prioritizing price proposal at 40%, qualifications at 35%, attachments at 10%, references at 10%, and acceptance of Restricted Terms at 5%. The College, a tax-exempt entity, will not pay any taxes, and contractors are liable for all associated tax costs.
