Supply and Delivery of Fleet Vehicles
Solicitation # RFP26-11
The City of Port Moody is soliciting proposals under RFP26-11 to establish one or more preferred dealers for the supply and delivery of Class 1 through Class 6 light-duty and medium-duty fleet vehicles. The scope of work focuses on 2027 vehicle offerings across five categories, including compact and full-size sedans, SUVs, cargo vans, and light-duty and medium-duty trucks, with flexibility for new models and fuel types from 2028 onward. Beyond vehicle procurement, the contract encompasses customized vehicle outfitting, the supply of replacement parts, and on-call warranty, non-warranty, and recall service repairs. While the City primarily intends to purchase vehicles, leasing options, including lease-only or lease-with-option-to-purchase arrangements, may be considered on a case-by-case basis. Proposals must be submitted electronically via the designated Bidding System by November 26, 2026. Requirements for proponents include a 10 percent digital bid bond, a valid City of Port Moody business license, and evidence of being in good standing with WorkSafeBC. All vehicles must be delivered freight prepaid, FOB to the City of Port Moody Works Yard, and must meet specific minimum standards, including a full power package. The City will not pay deposits on vehicle orders, and payments will be issued following the receipt and inspection of the vehicles. Award decisions will be based on a standard single-stage evaluation of the highest-ranked proponents.

The New York State Department of Transportation is seeking price quotes for bridge steel stock to replace the floor system on a bridge crossing the NYS Canal during the winter of 2024-2025. This procurement will be conducted under the state's discretionary purchasing authority, allowing the Department to bypass formal competitive bidding when purchasing from small businesses, certified SDVOBs, MWBEs, or businesses selling recycled or remanufactured commodities. Interested vendors must submit their proposals by October 21, 2024, at 4:00 PM, with inquiries accepted until October 9, 2024. The contract is a one-time purchase with a value estimated between $500,000 and $1,500,000, located in Monroe County, Region 4. All communication regarding the RFQ must be directed to designated contacts, Jennifer Walter and Otto Ambuhl, to avoid impermissible contacts under state law. The solicitation emphasizes compliance with civil rights laws, including Title VI, and encourages certified firms, particularly those with relevant experience, to participate as prime contractors. The attached documents include standard clauses, legal affidavits, and exhibits necessary for the contract, which will be awarded based on responsible and reliable bids that remain valid for 60 days. The procurement aims to support local businesses and ensure nondiscriminatory participation in the bidding process.
