Venue and Support for the 2026 Sergeant Major of the Marine Corps Symposium

The Department of Defense, through the Regional Contracting Office in Quantico, Virginia, is seeking a small business vendor to provide a comprehensive venue and support package for the 2026 Sergeant Major of the Marine Corps Symposium, scheduled for July 20–24, 2026. The venue must be located within 25 miles of one of the three major airports serving the Washington, D.C. metropolitan area and must accommodate a full suite of event spaces, including a ballroom for up to 106 attendees for the General Session, a separate ballroom for up to 30 spouses, three breakout rooms for approximately 25 people each, an operations center for 10 personnel equipped with tables, computer outlets, an IT switch, and a multifunction device, as well as one private office for the Sergeant Major and a green room for guest speakers. All spaces and technical equipment must be fully set up and operational by the afternoon of Monday, July 20, 2026, with daily operational hours anticipated from 0800 to 1700. Technical requirements include three LCD projectors with necessary connectors and laser pointers, podiums with wired and wireless lavalier microphones in both ballrooms, and reliable, high-capacity LAN and WiFi connectivity across all event areas. Immediate technical support must be available on-site to address any equipment malfunctions without delay, and the vendor may optionally provide a guest room block of approximately 85 rooms at no cost to the Government, though reservations and payment will be handled directly by attendees. This acquisition is a Firm Fixed Price Purchase Order issued under FAR Part 13 procedures as a 100% Total Small Business Set-Aside under NAICS Code 721110, with all offerors required to comply with applicable FAR and DFARS clauses governing socioeconomic compliance, cybersecurity, labor standards, and performance reporting. Quotations must be submitted electronically to Contract Specialist Jesse T. Wise by 4:00 PM Eastern Time on May 27, 2026, and will be evaluated based on conformance to all solicitation requirements, past performance, and price reasonableness using a best value approach; late or non-conforming submissions will be deemed ineligible for award.
