AI Contract Overview
The School Board of Marion County, Florida, is seeking a qualified firm to provide materials, installation, and repair of new water softener equipment for twelve campus kitchens and additional locations as needed. The awarded vendor will be responsible for providing all necessary equipment and labor to install and commission systems of appropriate capacity for school food service environments. While the vendor will integrate the equipment into existing plumbing, the District Maintenance Department will handle electrical, carpentry, and additional plumbing services. All equipment will be purchased by the school board rather than leased, and the systems must be compatible with the district's existing salt service. Following installation, the vendor must perform monthly water sampling and analysis at each site for one year to monitor effectiveness. Applicants must provide a business history of at least three years, project references, and manufacturer authorization for supply, maintenance, and warranty. Proposals are required to include an estimated timeline for installation and a response time for emergency repairs. Additionally, the contractor must certify that all materials are safe and effective for use in a K-12 school food service environment.

The listed campuses do not currently have water softener systems installed for the kitchens. This Request for Proposal is for new installation.
The specific size of the water softener units required at the Food Service sites is unknown in this Request for Proposal; the units should be of an appropriate capacity to service a school food service kitchen.
Marion County School Board currently uses a water softener salt service to deliver and install sodium chloride in existing water softener units, and a water softener salt service will continue to be utilized for the units installed as a condition of this RFP. As reference, the current water softener salt service product is Pro’s Pick Dura-Cube Salt.
The awarded vendor is responsible for providing all necessary equipment, materials, and labor required for the installation and commissioning of these new systems. Units will be installed in close proximity to the campus kitchen at each location. The site of installation at each campus is dependent on the campus structure. Water softener unit installation sites may include an interior or outdoor location at each campus.
Water softener equipment will be purchased from the awarded vendor by the Marion County School Board and will not be leased.
The water softener equipment will be integrated into existing plumbing by the awarded vendor. Electrical, carpentry services, and additional plumbing services required for installation of equipment will be performed by the District’s Maintenance Department; these services shall be coordinated through the Marion County School Board Food and Nutrition Services. Awarded vendor shall ensure all units and related work follows all applicable codes.
Once units are installed and functioning, the awarded vendor will sample and analyze water monthly at each site for twelve (12) months to monitor the effectiveness of the softening units; water analysis may be requested on an as-needed basis.
All firms submitting a proposal will be required to demonstrate references documenting projects.
All persons or firms are required to provide documentation of business history for a period of no less than three (3) years.
Proposals must demonstrate manufacturer’s authorization for supply, installation, repair, maintenance, and warranty for specified equipment.
Proposals must provide an estimated timeline required to order, receive, and install all units.
Proposals must provide an estimated response time for emergency repair of units.
Contractor certifies by signing this RFP that all equipment and materials supplied for the water softeners are safe and effective for food services in a K-12 school environment.
