Full Description

GENERAL: Olathe Public Schools USD #233 (or the "District") is soliciting bids for 20# White Copy Paper to be used in multi-function copy machines and laser printers across our District made up of nearly 65 buildings serving nearly 30,000 students. The District intends to secure pricing for the 2025-2026 school year. Bidders (also herein referred to as "Contractors") will execute and submit all bids in accordance with the attached RFB Instructions & Terms and Conditions. In the event Bidder is unable to guarantee pricing for the entire contract term of July 1, 2025-June 30, 2026, Bidder shall indicate the date the pricing is guaranteed through and escalation information. If the District is ordering outside of the guaranteed pricing by the awarded vendor(s) or the awarded vendor is unable to meet the District’s requested lead time, the District reserves the right to confirm pricing from the lowest responsible Bidders, including the indicated escalation pricing if necessary, and/or to go back out to bid. SCOPE OF WORK: The District is estimating purchasing up to 10,080 Cases (100,800 reams or twelve (12) truckloads) of white copy paper during the 2025-2026 school year effective July 1, 2025-June 30, 2026. Orders will be made at various times during the school year depending on District needs in minimum increments of 840 cases. Historically, the District has issued Purchase Orders three times over the course of the school year equating to four truckloads per order.
The District defines one (1) truckload of 20# white copy paper as 21 pallets = 840 cases = 8,400 reams. Bidders are instructed to download RFB 25-019 Instructions & Terms and Conditions for detailed specifications and other bid requirements.
It will be the responsibility of the vendor to ensure the product bid will meet the specifications as listed. In the event the District is not 100% satisfied with the proposed product, a vendor’s bid may be rejected. Domestic paper is preferred and will take award priority. Award is subject to approval by the District Board of Education. QUESTIONS:
Any questions should be posted directly in the Questions section of this solicitation. The question cut off is April 15, 2025 at 5:00 PM CST. SUBMISSION OF BIDS:
Sealed electronic bids for 20# White Copy Paper will be received until 2:00 PM CST on April 18, 2025 at which time the responses will be unsealed/opened. Submission of electronic responses after the specified Due Date/Time are not possible. Bids of any other format received after the exact time specified for receipt will not be considered.
