This contract entails providing comprehensive technical services including all necessary materials, equipment, transportation, and labor for the lighting, rear-projection, and sound systems at the Guardian Challenge 2010 events held at Hangar 140, Peterson Air Force Base, Colorado. The contractor is responsible for installing, operating, testing, and dismantling these systems over the course of the event, which runs from May 17 to May 22, 2010. Key event functions covered include rehearsals, the welcoming dinner on May 20, the welcoming ceremony on May 21, and the awards banquet later that same day. The venue accommodates approximately 1,000 attendees over a 26,000 square foot area. Precise coordination with a designated government representative is mandated to ensure all system setups, including dual-screen rear-projection and comprehensive audio coverage, meet the event’s technical requirements and scheduling. The sound system must include at least six flying speakers strategically delayed to prevent echo effects, two podium microphones supplied by the event office, and connections for live broadcast and recording. The rear-projection component requires two 15'x20' screens equipped with high-lumen projectors, ensuring backup solutions are in place to avoid failure during critical moments. Lighting specifications call for extensive stage illumination including 50-60 PAR cans, 16-20 moving/gobo spotlights, dimming racks, and thematic lighting enhancements. Additionally, the contractor must provide pipe and draping to block off rear stage areas and control daylight intrusion, plus a “whisper” generator backup system to maintain power continuity with minimal noise disruption. The contractor is also responsible for all power distribution and equipment placement, with no government manpower or lifting equipment provided for these tasks. Itemized cost proposals covering all these requirements, including archival video services, must be submitted with the bid.
