RFP Centralized Managed Print Svcs & Multifunction Printer (MFP) Fleet
Solicitation # 271006
The City of Dothan, Alabama, is soliciting proposals under RFP 271006 for a consolidated managed print services program. The selected vendor will serve as the single point of accountability for the implementation, installation, configuration, and management of a multifunction printer fleet, including plotters and facsimile devices. A key technical requirement is the integration of centralized print authentication with Active Directory or Entra ID to enable badge-swipe release. The project will follow a phased implementation, prioritizing the replacement of devices that are currently out of contract or on month-to-month leases. Security standards for the fleet include TLS 1.2 or later, SNMPv3, and the encryption of stored data. Proposals are due by November 20, 2026, and must be submitted in sealed envelopes. The City will award the contract to the responsive and responsible respondent offering the best combination of attributes, with a 3% cost preference granted to local vendors holding a City of Dothan business license. Required certifications include E-Verify compliance, a non-collusion affidavit, and adherence to the Drug-Free Workplace Act of 1988. The successful bidder must maintain comprehensive insurance coverage, including commercial general liability of 2 million dollars aggregate and professional liability of 1 million dollars. MANAGED PRINT SERVICES 2026
Solicitation # MPS 2026
The City of Tustin is soliciting proposals for Managed Print Services (MPS 2026) to modernize its print environment, replacing aging technology for approximately 119 multi-function devices and desktop printers. This initiative follows a comprehensive assessment by Office Werks Advisory and a city-wide survey to optimize operational workflows and total cost of ownership. The City is seeking a long-term strategic partner rather than a transactional vendor to provide equipment acquisition, implementation, maintenance, and security support. The awarded vendor will collaborate with City staff and the Consultant to implement print optimization recommendations and help develop a new city-wide print policy regarding usage standards and cost controls. The contract features an initial five-year term with the option for two additional one-year extensions. Scope of work includes fleet modernization, secure printing, and the support of critical devices serving 24/7 public safety and continuity-sensitive operations. Vendors must provide OEM supplies or approved equivalents and are responsible for all delivery, network installation, and training. Acceptance of equipment is contingent upon City confirmation of approved configurations and the resolution of material punch-list items. Payment is processed within 30 days of invoice approval by the Director of Finance, and the agreement is subject to a non-appropriation clause requiring 60 days' notice. Proposals are evaluated based on the best overall solution, with a focus on hardware and optional software through menu-based pricing schedules.

Full Description

As a critical component of United States Department of Agriculture (USDA), the Rural Development (RD) Mission Area is driven by a mission to stimulate, grow, and protect the American rural economy by providing loans, grants, and loan guarantees to individuals and commercial entities engaged in the betterment of rural life. As such, RD generates numerous mailings. The USDA RD Assistant Chief Information Officer (ACIO) is responsible for developing, maintaining, and operating enterprise-level solutions in support of all RD business users. These include Business Center (BC), Innovation Center (IC), Office of External Affairs (OEA), Civil Rights Office, Chief Risk Office, Rural Business and Cooperative Service (RBCS), Rural Housing Service (RHS), and Rural Utilities Service (RUS). These business areas function to support the delivery of RD loan, grant, and technical assistance programs to rural communities. USDA, RD (Office of the Deputy Chief Financial Officer (DCFO) is required by Congress to maintain a Loan Origination/Loan Servicing System to our single-family housing borrowers which includes the capability to provide escrow accounting to these borrowers. The system gives the agency the capability to centralize several loan servicing actions that were performed in the 1,900 field offices in the past, thus, saving the Government substantial time and effort. However, to take advantage of the centralized functions, the Government must be able to print, fold, insert, and prepare for mailing items such as monthly billing statements, dunning letters, graduation letters, and other Loan Origination/Loan Servicing documents in a timely manner. Therefore, to fulfill the above requirement, Rural Development requires the lease of equipment, and the maintenance, software, and consumables.
