Printer Maintenance Services 2027-2032

The Central New York Regional Transportation Authority (CNYRTA) is soliciting bids for a five-year contract for printer maintenance services running from June 1, 2027, to May 31, 2032. The selected vendor will be responsible for the maintenance and repair of various office printing, scanning, and fax equipment across multiple locations. Key deliverables include performing as-needed repairs during regular business hours, providing annual meter readings for networked equipment, and supplying all manufacturer-recommended consumables such as toner and imaging components at no additional cost. All work must adhere to original manufacturer specifications to ensure print quality and operational status. Bids are due by October 8, 2026, at 1:00 PM EST via the Bonfire Portal. The contract will be awarded to the responsive bidder offering the lowest price who is deemed eligible and responsible. Pricing proposals must include per-page rates for black and white and color printing, overage rates, hourly repair fees, material mark-ups, and travel charges, along with annual escalation percentages for years two through five. Vendors must also provide a detailed utilization plan for Minority- and Women-owned Business Enterprises (M/WBE) and Service-Disabled Veteran-Owned Businesses (SDVOB). The contract requires comprehensive insurance coverage, including general liability, automobile liability, and umbrella policies, with the CNYRTA named as an additional insured. Compliance with New York State standard contract clauses, including the State Finance Law and EEO requirements, is mandatory.
