The Canyons School District is seeking proposals from qualified suppliers to provide RFID-enabled Chromebook Identification Tags designed to meet specific technical, durability, and customization requirements. The tags must be capable of functioning reliably on metal surfaces, with a minimum read range of nine feet, and must comply with EPCglobal Class 1 Gen 2 RF protocols. They should be approximately 2.0 to 3.3 inches in width, about one inch in height, and between 1.0 to 1.25 mm thick, with optional foam standoffs to enhance performance on metallic surfaces. The adhesive used must be semi-permanent, UV stable, water and sweat resistant, and capable of enduring common cleaning agents and environmental conditions. Customization includes printing district name, contact number, and a barcode with human-readable data, with RFID encoding to include a permanent serial number. Vendors are expected to supply a significant volume, ranging from 35,000 to 45,000 units, pre-printed and pre-encoded, with samples and detailed technical documentation provided for evaluation. The procurement process is structured around a competitive RFP, with proposals evaluated based on responsiveness, qualifications, technical approach, references, and pricing. The contract, awarded for an initial one-year period, may be extended annually for up to four additional years at the district’s discretion, with pricing fixed or subject to market adjustments under specific conditions. All responses must be submitted electronically via Ion Wave by the specified deadline, and samples must be sent to the district’s purchasing department for review. The district reserves the right to reject bids that do not meet the specifications or are deemed unacceptable in appearance, durability, or performance. The process emphasizes thorough documentation, including certifications, technical specifications, and references, to ensure the selected supplier can deliver RFID tags that meet the district’s operational and technical needs for asset management and security.
