SBU/ Boiler Maintenance, Repair, Install, Retrofit, and Replacement Services

The State University of New York at Stony Brook is soliciting proposals for a comprehensive service contract covering the maintenance, repair, installation, retrofit, and replacement of boilers. The scope of work encompasses various locations on the main campus as well as offsite facilities owned, operated, or managed by the university. The anticipated period of performance begins on approximately April 1, 2027, and extends through March 31, 2032. Award will be granted to the lowest responsible and qualified bidder based on a grand total evaluation, which includes an administrative review, cost evaluation, reference validation, and a final vendor responsibility review focusing on financial capacity, legal authority, and past performance. Contractors are required to adhere to New York State prevailing wage schedules and provide quarterly electronic spend reports. All pricing must be fixed for the duration of the contract, quoted without sales tax, and provided as FOB Destination, Freight Prepaid. The successful bidder must manage all debris removal using their own receptacles and honor all manufacturer guarantees. Submission requirements are stringent, requiring a variety of certifications including Non-Collusive Bidding, MWBE forms, and Vendor Responsibility questionnaires. Payments will be processed electronically through the Office of the State Comptroller, and the university maintains the right to cancel or return orders within seven days of delivery.
