The USMS SOG has a requirement for an electronic key control system to provide a comprehensive method for managing, tracking, and controlling vehicle keys and fleet credit cards. At a minimum, the key control system must provide a 24/7 electronic audit of key use by USMS employees that can fulfill the following requirements: Ability to store and track a minimum of 200 keys/fleet cards. Accessing the system must be 100% accountable, trackable and secure. Provide key and fleet credit card control and user accountability. Keys must be secured in separate compartments to allow for member access to their specific keys ONLY. All keys must be locked into individual compartments to prevent key removal not authorized for access. System must have the capability to limit the number of keys dispensed at one time. Key Control system must have the capability to enter a date of return of each key and send an alert to the system administrator when the key is not returned on time. Proprietary software that will provide analytics and full audit reporting to track user access and deny access to unauthorized users. Software must provide full transaction audit trail with the ability to filter reports to show: User history Key / Fleet credit card history Keys / Fleet credit cards out by days Unauthorized asset / key removal Daily transaction recap of all activity - keys/fleet credit cards checked in and checked out. System must have the ability to allow for multiple systems administrators to access the system through any compatible internet browser from any device, to include smartphones and tablets. Designated system administrators will have total control over all access options including individual and group access permissions. Administration functions performed via web application to add, delete user's, keys, key data, set user profiles and all other administrative roles. Must have the capability to allow systems to be expanded to hundreds of lockers or cabinets on a centrally managed network. Email notifications to alert designated system administrators of specific key/fleet credit card movements. Ability to create custom messaging to users before or after a key and fleet credit card is removed or returned. System must have the capability for biometric control access. Must include a 1-year warranty to include parts, technical and software phone support. Must provide onsite or online software training.
