Sources Sought - AmeriCorps ORO Staff Conference Facilities This is a Sources Sought Notice (SSN): This announcement serves to survey availability. This synopsis neither constitutes a Request for Proposal (RFP), nor does it restrict the Government from an ultimate acquisition approach. This synopsis should not be construed as a commitment by the Government for any purpose. Requests for solicitation will not receive a response. All information is to be submitted at no cost or obligation to the U.S. Government. The U.S. Government reserves the right to reject, in whole or in part, any input as a result of this market survey. The U.S. Government is not obligated to notify respondents of the results of this survey. This is not a formal solicitation. If a formal solicitation is generated at a later date, a solicitation notice will be published. No award will be made as a result of this SSN. Purpose The Office of Regional Operations (ORO) is in the planning process to host an event for all ORO staff in Fiscal Year 2022. Proposed Dates April 4-8, 2022 May 16-20, 2022 Attendees Anticipated Number of Attendees: 170 to 200 Requirements Large room required for Plenary sessions (hosting all attendees) Smaller rooms (4-5) required for breakout sessions The largest break out room should hold at least 32 people; the other rooms can be smaller Enough space to allow social distancing; masks will still be worn No food will be required; all attendees will use per diem to purchase meals Option to record sessions or livestream for the entire meeting (sessions held in large room) for any participants unable to attend in person A/V Equipment must be provided with the following capabilities Projector and screens for 170-200 people in large meeting space Microphones for presenters to speak in large meeting space only Option to record or livestream sessions in large meeting space only Projector and screens in the large break out room only (not required in the other break out rooms) All 5 break out rooms have A/V for PowerPoints The hosting facility must set aside a block of 170 rooms at the hosting site to accommodate all anticipated attendees The hosting facility must supply rooms at or below GSA Per Diem rates for the area The hosting facility must have a system that allows Government employees to book rooms for this conference The hosting facility must be in the immediate area of AmeriCorps Headquarters in Washington, DC.
