The Defense Logistics Agency is conducting market research through a sources sought notice to identify qualified vendors capable of providing comprehensive maintenance and repair services for 12 Xerox small format black and white devices—specifically four B9100G units, four Nuvera157 units, and four Nuvera200 units—at approximately five DLA facilities across the Continental United States and Hawaii. The anticipated contract, if awarded, will be a single-award, firm fixed price, stand-alone agreement with a base year and two option years, totaling 36 months of performance. Although this notice is purely for market research and does not constitute a solicitation or binding commitment, vendors are encouraged to respond with their business name, DUNS number, NAICS code 811210, socioeconomic status, brief company history, point of contact, and details of past contract experience to help the government shape future procurement strategy. The small business size standard for this NAICS code is $34 million. The contract will require vendors to handle all maintenance and repair of equipment, provide consumable supplies (excluding paper) along with current Material Safety Data Sheets, ensure full networking functionality, and maintain IT security accreditation in accordance with NIST Special Publication 800-161 Rev. 1 to mitigate supply chain risks posed by foreign intelligence or terrorist entities. Contractors must comply with Section 508 accessibility standards for software interfaces and are prohibited from using non-government-issued devices such as personal phones or laptops on DLA networks. Security clearances up to Secret level are required for technicians accessing sensitive sites, and cell phones or recording devices are strictly banned when servicing classified equipment. Vendors must designate a single administrative POC and a single service POC, submit monthly reports on device uptime (maintaining at least 80% availability per machine), and provide security vulnerability updates. Invoicing must be submitted electronically via WAWF using two-in-one formats within defined timelines: within 30 days after installation and no later than the 15th of the following month for ongoing service, with payment at risk for late submissions.
