Goods or Services Requested: Walton County is requesting written quotes from qualified contractors to furnish all labor, materials, equipment, supervision, transportation, tools, and incidentals necessary to install a new 2-foot by 2-foot suspended acoustical ceiling system at the County office building located at 176 Montgomery Circle, DeFuniak Springs, Florida. The work will be performed in two phases to allow portions of the building to remain operational: Phase 1: Rear section of the building Phase 2: Front section of the building The final square footage: 2. Scope of Services The work shall include, but is not necessarily limited to, the following: A. Site Verification and Preparation Inspect and field-measure the work areas. Verify the location and condition of existing walls, structural supports, utilities, lighting, HVAC components, fire-protection devices, security equipment, and other ceiling-mounted items. Coordinate with the County before moving furniture or temporarily restricting access to any area. Protect areas and items that will remain in place. B. Existing Ceiling and Materials Select the applicable requirement: Install the new suspended ceiling system in areas where no existing ceiling system is present. Removal of electrical wiring, lighting fixtures, HVAC equipment, fire sprinklers, or other specialized building systems is not included unless specifically identified in the Contractor's quote and authorized by the County. C. Suspended Ceiling System Furnish and install a complete 2-foot by 2-foot suspended acoustical ceiling system, including: Commercial-grade exposed suspension grid system; Main runners, cross tees, wall molding, hanger wires, fasteners, anchors, clips, and other required accessories; 2-foot by 2-foot acoustical ceiling panels; Perimeter tiles cut neatly and uniformly to fit the space; Additional supports required for proper installation; and All miscellaneous materials necessary to provide a complete and finished ceiling system. The suspension system and panels shall: Be new and free from defects, damage, stains, or discoloration; Be compatible with one another; Be installed level, square, and properly aligned; Be suitable for use in a commercial office environment; Meet applicable fire-resistance and flame-spread requirements; Be installed in accordance with the manufacturers' written instructions; and Be white unless another color or finish is approved by the County. The Contractor shall provide the manufacturer, product name, panel style, thickness, edge profile, grid type, warranty information, and product data with the quote. D. Ceiling-Mounted Components The Contractor shall coordinate ceiling installation around existing or planned: Light fixtures; HVAC supply diffusers, return-air grilles, and vents; Fire sprinklers and fire-alarm devices; Security cameras and related devices; Data or communication equipment; and Other ceiling-mounted components. Openings shall be accurately measured and neatly cut. Ceiling components shall not be independently supported by the ceiling panels unless specifically permitted by the applicable code and manufacturer. Any disconnection, relocation, modification, or reconnection of electrical, mechanical, fire-protection, security, or data systems shall be clearly identified in the quote. Work requiring a licensed trade shall be performed by an appropriately licensed contractor. E. Phased Construction The Contractor shall complete the work in two separately coordinated phases. Before beginning each phase, the Contractor shall: Confirm the limits of work with the County; Coordinate the proposed start date and anticipated duration; Identify areas that must be cleared or temporarily closed; Establish necessary protection and dust-control measures; and Confirm coordination requirements involving County staff or other contractors. Each phase shall be substantially completed, cleaned, and made safe for occupancy before work begins in another area, unless otherwise approved by the County. 3. Inspection and Acceptance Upon completion of each phase, the Contractor shall notify the County that the area is ready for inspection. The Contractor shall promptly correct any deficient, damaged, incomplete, or unacceptable work identified by the County. Final acceptance will occur after: All work has been completed; Deficiencies have been corrected; The work area has been cleaned; Required inspections have been completed; and Warranty and closeout information has been provided. 4. Quote Requirements The written quote shall include: Contractor's legal business name and contact information; Description of the proposed ceiling panel and grid system; Manufacturer product data or specifications; Total verified square footage; Separate pricing for Phase 1 and Phase 2; Cost per square foot; Proposed schedule and number of calendar days required for each phase; Warranty information; List of assumptions and exclusions; and Total lump-sum price. The quoted price shall include all labor, materials, equipment, delivery, overhead, profit, supervision, cleanup, disposal, and incidentals necessary to complete the work unless an item is expressly identified as an exclusion.
