Mechanical Preventative Maintenance

The Town of Dartmouth is soliciting proposals for a mechanical preventative maintenance agreement to service five town-owned facilities: Town Hall, the Council on Aging, the Dartmouth Police Station, North Dartmouth Library, and Southworth Library. The contract is for an initial one-year term with options to renew for an additional two to three years. Services must be performed twice annually, specifically in September before the heating season and in April before the cooling season. The scope of work includes the inspection, calibration, and maintenance of HVAC systems, boilers, pumps, air handling units, and other mechanical equipment in accordance with manufacturer specifications. The contractor is responsible for providing all labor and materials, including filters, belts, and lubricants, and must submit detailed service reports after each visit. Proposals must be submitted by October 15, 2026, using a two-envelope system consisting of a separate technical and price proposal. Evaluation is conducted under Massachusetts General Laws Chapter 30B, with the Town potentially conducting interviews for proposals rated as Advantageous or Highly Advantageous. Awardees are required to maintain Workers Compensation Insurance and $1,000,000 in General Liability Insurance. The contract includes pricing for semi-annual maintenance at each facility as well as hourly rates for regular and overtime service calls and repairs.
