Preventative Maintenance for the Uninterruptable Power Supply System, U.S Embassy Windhoek

The U.S. Embassy Windhoek is soliciting quotations for a firm fixed price contract to provide professional preventive maintenance services for three Schneider Electric Symmetra PX2 160 kW uninterruptable power supply (UPS) systems. The primary objective is to ensure the readiness and proper operation of the facility's critical electrical infrastructure and eliminate system malfunctions or deterioration. The scope of work includes the maintenance of UPS modules, fans, external battery modules, circuit breakers, and wiring, all performed in accordance with manufacturer requirements and embassy safety and security standards. The contract consists of a one-year base period with four one-year options, with a requirement that options commence no later than January 1, 2027. Award will be granted to the lowest priced, acceptable, and responsible offeror. To be considered, bidders must be registered in the System for Award Management (SAM) and provide comprehensive documentation, including an OEM authorized certificate, DBA insurance quotes, and proof of business registration in Namibia. Submissions must be delivered electronically by September 21, 2026. Performance will be monitored by the Contracting Officer's Representative, and acceptance is based on the completion of all maintenance tasks, submission of required deliverables, and a performance standard of no more than one customer complaint per month.
