Sources Sought for Hotel Rooms, Catering and Reception Hall

The U.S. Navy, through Naval Supply Systems Command Fleet Logistics Center Norfolk, is seeking information from potential vendors to support the upcoming Summer Centers of Influence Orientation Visit scheduled for July 27–30, 2026, in Annapolis, Maryland. This sources sought notice, identified by solicitation number N0068M26PR00046, is not a solicitation, contract, or commitment of funds, and the government assumes no liability for costs incurred in response. The requirement includes securing 100 single-occupancy, non-smoking hotel rooms for three nights, totaling 300 room nights with a 65% occupancy guarantee, all located within a 15-minute drive of the Naval Academy. Additional services required are a fixed-price welcome reception on July 27th for 115 attendees, including food, beverages, audiovisual equipment, and seating; daily breakfast service for all guests from July 28th to 30th; a lobby registration area with two tables and chairs on July 27th from 12 p.m. to 6 p.m.; dedicated parking for up to 15 admissions personnel; full-size bus access for guest transportation; and a courtesy shuttle if the property is more than 1.5 miles from the Naval Academy or downtown Annapolis. Incidental expenses such as telephone charges, room service, damages, and additional guests are the sole responsibility of individual attendees. The vendor must provide a 65% occupancy guarantee and ensure that no cost overages occur for reception services or room upgrades under any circumstances. Interested respondents must submit a response not exceeding five typewritten pages in no less than 12-point font, including company name, address, point of contact details, CAGE code, DUNS number, NAICS code 721110 business size classification, a detailed description of their ability to fulfill the scope of work, and documented past performance with similar contracts including contract numbers, dollar values, and performance periods. Respondents must specify whether they intend to serve as a prime contractor or subcontractor, and if subcontracting, provide the anticipated percentage of effort to be subcontracted and identify whether small or large businesses will be involved.
