Corporate Point of Sale (POS) System, Support & Maintenance

The City of Burnaby is seeking proposals for a commercial off-the-shelf, cloud-based Point of Sale (POS) system to support its hospitality food and beverage operations. The required solution must be a modern, stable, and centrally managed multi-location platform capable of serving diverse environments, including restaurants, cafes, bistros, concessions, stadium and event sales, and mobile beverage carts. The scope of work encompasses the provision of POS software, necessary hardware, implementation services, training, ongoing support, reporting, and integrated payment-related capabilities. The contract is structured for an initial five-year term with an option to renew for an additional five years, providing a potential ten-year engagement. The City reserves the right to expand the contract to include additional locations, devices, or similar products through negotiated pricing and scope. Proponents must be established market leaders with at least five years of relevant experience implementing similar solutions in food-service environments. Evaluation is a multi-phase process focusing on the best-qualified proponent who offers the best value, meaning the lowest price is not the sole determining factor. Key technical and security requirements include data encryption (at least 128-bit AES in transmission and 256-bit AES at rest), compliance with ISO 27017 for infrastructure providers, and the ability to deliver daily batch exports via SFTP. Mandatory compliance includes being in good standing with WorkSafeBC and maintaining significant insurance coverage, specifically $5,000,000 for both General Liability and Cyber & Privacy Liability. Proposals must be submitted electronically through the designated bidding portal by the final deadline of September 25, 2026.
