Elevator Maintenance

The City of Madison is soliciting proposals for a professional Elevator Service Provider to perform proactive complete maintenance and repair services for various city-wide facilities, including the Municipal Building, Parks Division, and Senior Center. The contract, identified as RFP 15013-0-2026-BP, aims to maximize equipment life and safety through a documented Maintenance Control Program adhering to ASME A17.1-2016 and other industry standards. The scope includes examining, cleaning, lubricating, and repairing components, as well as providing all necessary personnel, tools, and diagnostic software. The initial term is for three years, expected to commence around January 1, 2027, with two optional one-year renewals and a subsequent month-to-month arrangement. Proposals are due by October 9, 2026, at 2:00 PM Central Time and must be submitted electronically. The award will be based on a 100-point evaluation considering price and other factors, with a 5% scoring preference granted to firms based in Dane County. Required submissions include a vendor profile, references, and a detailed pricing proposal via an Excel workbook. The selected contractor must maintain comprehensive insurance, including general liability and workers compensation, and comply with the City of Madison's Affirmative Action Ordinance and the RaiSE program for firms with 15 or more employees. Subcontracting is generally prohibited except for specialized off-site repairs. Payment for regular services is structured as monthly in advance.
