Invitation for Bid to establish a Master Order for the supply of various industrual supplies and equipment to be provided on an as needed basis. Brand and model specified are for illustrative purposes only. Equivalents may be considered. If bidding an equivalent, vendor must provide the following: - Manufacturer, Model number, and a detailed specification sheet. Agency will have final determination on equivalency. The Term for the Master Order will be for a period of one (1) year from date of award, with the option to renew for four (4) additional one year periods if mutually agreeable by both parties. Upon award, the successful vendor shall extend the awarded agreement to all departments and agencies of the Texas A&M University System. This bid contains a list of items for pricing evaluation that are to be ordered following the bid (in the Items section of this bid). In addition to this pricing, we are requesting Discount from List Percentages on vendor's entire master catalog for the term of the agreement and any extensions that may be exercised. Provide escalation percentage for renewal terms in the question section of this bid. Delivery: Delivery to be made at times and in quantities requested by Texas A&M Engineering Experiment Station (TEES). Quantities are estimates only and not a guarantee of purchase. Discounts shall remain firm throughout the term of the agreement. Upon award, orders will be placed that refer to this bid and/or the Master Order. All invoices must reflect the discount quoted and must reflect the purchase order number awarded by TEES. TEES reserves the right to cancel order and order elsewhere if items are not available for shipment. TEES will not be responsible for a restocking fee or penalty for vendor failure to deliver in the timeframe quoted. Quoted prices are to include any and all additional costs/fees associated with product procurement (such as but not limited to: freight/shipping cost, crating fee, processing fees, customs, duties, taxes, tariffs). Additional Items: TEES reserves the right to add additional items within the same category throughout the contract term with discounts and unit pricing to be negotiated at the time of the addition. Prior to additions of brand and/or categories, TEES may request a Discount form List and estimated dollar figure for each addition. If an additional category is approved, TEES Procurement Services will issue a change order to reflect the approved addition. Warranty: Vendor will provide a one (1) year minimum warranty on parts and equipment. Vendor is expected to provide prompt service that is due under warranty. Performance in these areas shall be a factor in the extension or termination of the agreement. Additional Information: Vendor should specify any minimum order requirements. TEES reserves the right to accept or reject any or all bids, to waive informalities and technicalities, to accept the offer considered the most advantageous for the agency. Any exceptions to terms and conditions can cause a bid to be rejected. Cancellation: Upon award, any order is subject to cancellation, without penalty, either in whole or in part, if funds are not appropriated. TEES reserves the right to immediate cancellation due to non-performance. TEES reserves the right to cancellation with a thirty (30) day written notice.
