Tinker Event Center Ballroom Audio and Visual Upgrade

The contractor is required to completely replace the aging audio and visual system in the Tinker Event Center Ballroom at Tinker Air Force Base, Oklahoma, with a modern, turnkey system designed to support a wide range of events including teleconferencing and video conferencing in strict compliance with Department of Defense security protocols. The project involves installing three 4K UHD laser projectors, one motorized projection screen, six wireless microphones (four handheld and four lapel), eight encrypted wireless tabletop microphones, seven speaker zones with matching amplification, six 10-inch control displays with a graphical user interface for BYOD connectivity via USB-C, and a fully shielded cabling infrastructure using Cat 6A or higher with F/UTP or S/FTP to eliminate electromagnetic and radio frequency interference. Wireless technologies must be FIPS 140.3 compliant, exclude Bluetooth, and adhere to DoD network security standards for both NIPRNet and SIPRNet environments. All hardware and software must be Trade Agreements Act compliant and listed on the Air Force Evaluated Products list. The contractor must supply all equipment, tools, labor, and materials, as no government-furnished property will be provided, and must complete the installation in a 90-day period under strict working hour constraints: Monday through Friday, 0730 to 1630, with no work permitted on weekends, federal holidays, or Air Force family days. All personnel must undergo a background check to obtain base access and are prohibited from carrying weapons or ammunition on installation. The proposal must include operational manuals delivered prior to completion, comprehensive training for end-users and support staff within five days of installation, and a three-year extended warranty. This is a firm-fixed-price contract under NAICS Code 334310 with no set-aside, awarded based on best value. Proposals are due by July 31, 2026, and must be submitted via email only. Site visits are mandatory and require prior submission of a secure Entry Authorization List by July 6, 2026, with PII handled in accordance with security protocols.
