Venue for Award Ceremony

The U.S. Embassy Bangkok, under the Department of State, is seeking a vendor to provide a ballroom and light refreshments for an award ceremony scheduled for Friday, December 4, 2026, for 700 attendees. The venue must be within approximately one kilometer of the Embassy’s compounds on Wireless Road in Bangkok and must accommodate a theater-style seating arrangement with two sides of seating, a stage featuring one stair on each side, a backdrop or screen for the Embassy emblem measuring at least one meter, two podiums, and a photographer platform. Additional requirements include chair covers differentiated by color or ribbon for VIPs, guests, and awardees; directional signboards; floral decorations on stage and podiums; registration tables with power extension cords; shared Wi-Fi; sound and lighting systems with at least three microphones; and twelve small bottles of water per attendee. Light refreshments, to be ready by 2:00 PM, must include assorted pastries, cocktail food, dessert, fresh fruit, juice, coffee, and tea. The ballroom must be available for setup from 8:00 AM to 12:00 PM, with the ceremony running from 1:00 PM to 4:00 PM Bangkok local time. All submissions must be in English, submitted electronically as PDF files not exceeding 25MB to BangkokGSOProcurement@state.gov by June 10, 2026, at 4:00 PM Bangkok time. Offerors must be registered in the System for Award Management (SAM) prior to submission, with proof including the Unique Entity Identifier (UEI), and must provide evidence of an established business with a permanent address and telephone listing in Thailand. The solicitation requires completion of the SF-1449 form, pricing section, representations and certifications, a technical proposal with a Google Maps link confirming venue proximity, a list of refreshments, equipment details, and a company profile or brochure. Awards will be made to the lowest priced, acceptable, responsible offeror, with no set-aside applied. Contractors must comply with numerous FAR clauses including whistleblower rights, combating human trafficking, child labor protections, data safeguarding, and prohibitions on inverted domestic corporations, among others. Payment will be made via electronic fund transfer within 30 days of receipt of services and proper invoices, issued to usembbkdkbo@state.gov, and must adhere to FAR 32.905(e) requirements.
