Authorized Battle Motors (Formerly Crane Carrier) Service, Repair, Maintenance, and OEM Parts

The City of Pasadena seeks a vendor to provide comprehensive service, repair, maintenance, and original equipment manufacturer (OEM) parts for its fleet of approximately 1,100 vehicles and equipment units, with a primary focus on Battle Motors and former Crane Carrier refuse vehicles used by the RRR Division. These vehicles include rear loader, automated side loader, and front loader configurations that require specialized diagnostics, software access, and manufacturer-approved repair procedures to ensure operational integrity and compliance. The vendor must guarantee timely service response, with emergency repairs required within 30 to 60 minutes and parts deliveries completed within three hours during business hours or within two hours for urgent requests. All parts supplied must meet OEM specifications, be of the latest model or current date, and come with factory warranties covering defects in materials and workmanship. The City conducts inspections and acceptance at its designated City Yards location at 323 W. Mountain Street, Pasadena, CA 91103, and retains full authority to reject non-conforming items, requiring the contractor to replace them at no additional cost. Proposers must be authorized by Battle Motors to perform service and supply parts and must submit proof of authorization along with a Unique Entity ID (UEI) from SAM.gov. All contractors are required to hold a valid Pasadena business license, submit IRS Form W-9, and comply with equal employment opportunity regulations by completing Form AA-1, which is mandatory and failure to submit results in automatic disqualification. Contractors must also provide a Declaration of Non-Collusion for solicitations exceeding $75,000 and carry a minimum of $2 million in Garagekeeper’s Legal Liability Insurance with the City named as an additional insured under ISO CG 20 01 04 13 language, including waiver of subrogation and prohibition of anti-indemnity clauses.
