Milton Fire & Rescue Services Records Management System (RMS) Implementation Services

The Town of Milton is seeking a market-leading proponent to provide, implement, and configure a new Records Management System (RMS) for its Fire and Rescue Services. The objective is to replace an end-of-life system to improve data integrity and operational visibility, specifically supporting functions such as incident response, inspections, permitting, staff scheduling, training, and GIS mapping. The solution must be compatible with the current legacy CAD platform and demonstrate flexibility for integration with a future replacement CAD system planned within two years. The contract includes a five-year service and support agreement, with the option for two additional one-year renewal terms, commencing upon project acceptance. The selection process is based on the highest ranked proponent providing the greatest overall benefit, rather than the lowest price. Evaluation is based on a 100-point scale covering company profile, methodology, functional and technical requirements, and cost, with a minimum score of 70 required for shortlisting. The project is scheduled to begin one week after contract signing. The successful supplier must comply with Ontario occupational health and safety laws, provide proof of insurance, and adhere to the Municipal Freedom of Information and Protection of Privacy Act. Payments will be made in Canadian currency, preferably via Visa or Net 30 EFT.
