Multi-Function Device Rental Services

The City of Tulsa is seeking a fixed-price contract for the monthly rental of multi-function digital print, fax, scan, and copy devices (MFDs) to equip various city facilities and locations throughout Tulsa County. The scope of work includes the provision of newly manufactured equipment, ongoing maintenance, and comprehensive support services. Key deliverables include the delivery of MFD models and accessories, a structured process for managing service calls, user and administrative training, and a detailed initial deployment schedule. All proposed devices must be compatible with serverless print management platforms and meet or exceed OEM specifications. The contract features an initial 12-month period with a requirement that additional units be installed within ten working days of a request. Proposals are evaluated based on a point system focusing on capability, experience, qualifications, and responses to requirements, alongside general criteria such as financial resources and total cost of ownership. To be considered, respondents must submit a comprehensive proposal package including a narrative, price sheets, insurance certificates, and a USB drive. Strict data protection measures are required, including the maintenance of security logs for at least 180 days to ensure the confidentiality and integrity of protected data.
