The Plano Independent School District is issuing a solicitation for the procurement of software, applications, and subscriptions intended for use by teachers, administrators, students, and staff on district-issued devices. The district emphasizes that products must be acceptable for network integration, with the district retaining the right to reject any products deemed unsuitable. The contract resulting from this RFP will be non-exclusive, allowing the district to award multiple vendors and to initiate additional procurements during the contract period, which is initially set for one year with up to five successive one-year auto-renewals, potentially extending the total duration to six years. The estimated annual expenditure for this contract is approximately $3.5 million, with the possibility of exceeding this amount by 25% based on actual needs and funding availability. The initial contract period is scheduled from January 2026 to January 2027, with options to extend through January 2033. This procurement is aligned with federal regulations under 2 CFR Part 200, ensuring compliance with federal funding requirements and allowing use with various funding sources, including local, state, federal, and grants. The district encourages all vendors, including sole source providers, to respond and may add supplemental vendors during the contract term. The district reserves the right to extend the RFP process for up to 120 days if necessary to maintain product availability and to issue subsequent RFPs as needed. The overall goal is to establish a broad, flexible, and compliant vendor network capable of supporting district-wide technology needs, with a focus on ensuring product acceptability, performance, and adherence to district policies.
