Student Chromebook Devices

The Troup County School System is soliciting proposals for the procurement of new Chromebook devices to support its student population with an estimated volume of 2,000 to 2,300 units, with the final quantity to be confirmed at award. The solicitation, issued under number PE-55928-NONST-2026-000000034, requires vendors to supply ChromeOS devices that meet mandatory technical specifications including MIL-STD-810H durability testing, full compatibility with Google Workspace for Education, and inclusion on Google’s Auto Update policy page. Each device must include a Chrome Education Upgrade license and be pre-provisioned for Zero-Touch Enrollment into the district’s domain. Warranty and accidental damage protection must be offered for both four-year and five-year terms, with explicit battery coverage required throughout the full term—coverage that excludes battery is unacceptable. Vendors must provide fully itemized pricing in Appendix B, including device cost, licensing, enrollment, warranty options, and any optional services such as tagging, imaging, or freight, with all-inclusive per-device totals for both warranty terms. All pricing must exclude sales or use tax as the district is tax-exempt and payments are due net 30 days. Proposals must be submitted electronically by June 26, 2026, at 2:00 PM ET to the procurement contact, Gary Stanbury, and must include a signed cover letter, a completed Specification Compliance Matrix (Appendix A), detailed technical specifications, warranty documentation, at least three K-12 references, and all required certifications listed in Appendix D, such as W-9, vendor registration, non-collusion and debarment affidavits, insurance certificates, and E-Verify compliance if applicable. Evaluation is based on a best-value methodology weighting cost at 50%, warranty and ADP strength at 15%, device longevity measured by Auto Update Expiration date (minimum June 2034) at 15%, technical merit at 10%, vendor qualifications and support at 5%, and delivery lead time at 5%. Proposals failing to meet the mandatory technical requirements in Section 3 will be disqualified. Vendors must state a firm lead time in business days after receipt of order and disclose any cooperative purchasing agreements used for pricing.
