AI Contract Overview

The Foothill – De Anza Community College District is seeking information from vendors to identify solutions that offer a comprehensive, integrated recruitment and admissions technology system. The desired platform should encompass various functionalities including travel management, event coordination, communication tools, application processing, workflow management, reading and decision release, and data reporting, all within a single centralized system. Currently, the district's international admissions process relies heavily on manual, paper-based procedures, lacking an online document management system, which hampers efficiency and security. Additionally, the district does not have a CRM to manage prospective student communications or a travel management system, relying instead on individual calendars for recruitment travel. The solicitation aims to determine if there are existing vendor solutions that can meet these needs without requiring additional components or complex integrations, with the contract being a response to a request for information issued in August 2018 under the solicitation number RFI #1819. The district emphasizes the importance of a unified platform to streamline their international admissions process and improve operational efficiency.

Full Description

The Foothill – De Anza Community College District (“District”) is seeking information from vendors to determine if there are other vendors that have a comprehensive and integrated recruitment and admissions technology system, encompassing travel, events, communications, applications, processing, workflow management, reading, releasing of decisions, and data reporting in a single centralized platform, without needing to purchase any additional add-ons or components that then need to be implemented and integrated. Our current international admissions process is paper-based. International students complete a paper application and mail their application and supporting documents to our offices. We do not have a secure document management system to allow us to receive application documents online. Our application review process is then manually completed. Portions of the review utilize an outdated and unsupported database system. We do not have a Customer Relationship Management (CRM) system to communicate with and track prospective applicants through the recruitment funnel. Finally, our recruitment travel is managed via individual calendars; we do not have a travel management system.
