AI Contract Overview
The A.T. Augusta Military Medical Center (ATAMMC) in Fort Belvoir, Virginia, is seeking to modernize its Video Teleconferencing (VTC) systems across all hospital collaboration spaces to enhance efficiency, reduce downtime, and standardize operations. This Service-Disabled Veteran-Owned Small Business (SDVOSB) set-aside solicitation, identified as VTC0000, requires the contractor to design, install, and support standards-based VTC solutions compliant with Microsoft Teams within the DHA MED365 tenant, integrating with existing ceiling-mounted microphones and speakers. The scope encompasses equipment installation in key areas including Huddle Rooms, the Command Conference Room, Hospital Operations Center, Family Medicine Training Room, and the Dilorenzo Divisible Room, with specific hardware requirements such as 75” and 86” 4K UHD monitors, Crestron AV encoders/decoders, auto-tracking cameras, control systems, and touch screens. All systems must support connectivity for in-room PCs and external laptops, feature conditioned power and proper cooling for equipment racks, and include sound reinforcement components tailored to each room’s acoustics. The contract mandates a 36-month warranty and maintenance period comprising one year of manufacturer warranty and two years of extended coverage, including ongoing technical support, patches, updates, and upgrades. The contractor is prohibited from using or analyzing any customer data for commercial purposes, must prioritize security over cost savings, and is required to promptly disclose any system failures or security incidents. All information and communication technology must comply with Section 508 accessibility standards, and physical installation must minimize new cable holes where possible. Strict environmental and safety protocols apply: daily trash removal is required with no use of facility dumpsters, uninstalled equipment must be staged in government-designated areas, and all personnel must adhere to EM 385-1-1 safety standards, including proper PPE, an approved Accident Prevention Plan, and immediate reporting of accidents or fatalities. Vendors must be currently registered in SAM.gov with valid status to submit proposals, which are due by June 25, 2026. While a site visit on June 9, 2026, is optional, any attending vendor must submit a completed Base Access Form to the facility liaison within 48 hours. Proposals must align with the detailed equipment breakdown provided in the accompanying Excel document and the full Statement of Work, and all deliveries must be shipped to the specified ATAMMC IM/IT Department address
