To respond to the solicitation for Big Bus Parts, bidders must be the original equipment manufacturer, an authorized dealer, approved reseller, subcontractor, or agent duly authorized by the OEM, and must provide their best price, warranty terms, and lead time for each line item. All freight and delivery costs must be included in the bid price, and bidders are required to clearly state the manufacturer’s name and fully complete the warranty section, including the start of warranty checkbox. Brand names and model numbers specified are for identifying requirements only; if bidding an alternative brand, the part must first be pre-approved by OCTA as an approved equal through the submission of comprehensive technical data via the Approved Equal Form. The burden of demonstrating equality, substitutability, and compatibility rests entirely on the bidder, who must provide all supporting documentation at no cost to OCTA, which retains sole authority to determine acceptability. Bidders must also provide a pass-through warranty from the original manufacturer for all parts, and remain fully responsible for both their own warranty obligations and those passed through. OCTA may verify bidder authorization status and will reject non-compliant bids. Awards will go to the lowest responsive and responsible bidder with available inventory, and may be split among multiple vendors based on overall benefit to OCTA, with superior warranty terms potentially influencing the decision. Once awarded, vendors must confirm receipt of the emailed purchase order within twenty-four hours and strictly adhere to the guaranteed delivery dates specified for each item; failure to meet these deadlines may result in purchase order cancellation and re-procurement charges assessed against the vendor.
