FY26 State Funeral & Inauguration Tents

The Joint Task Force, National Capital Region, Military District of Washington is seeking contractor support to provide free-standing tents equipped with opaque side walls, protective flooring, lighting, quiet generators, and integrated heating and cooling systems for use as medical aid stations, holding areas, and troop warming/cooling stations during high-profile events in the National Capital Region, including Presidential State Funerals and Inaugurations. The requirement is structured as a seven-year Indefinite Delivery, Indefinite Quantity (IDIQ) contract with a firm-fixed price structure, and the government anticipates awarding a single contract. Contractors must be prepared to respond with full deployment capabilities within 36 hours, operate seven days a week including nighttime hours, and deliver all necessary personnel, equipment, tools, materials, and supervision to install, maintain, and recover tents at multiple locations across the region. Minimum equipment requirements include eight 20x20 foot tents, one 20x10 foot tent, three 30x40 foot tents, three 20x50 foot tents, three 15x30 foot tents, and fueling services for all generators and climate control units. All tents must be fully operational no later than 2:00 AM on the day of an inauguration. Personnel must pass background checks conducted by the U.S. Secret Service and maintain confidentiality agreements with JTF-NCR throughout the contract term. Credentialing is mandatory, requiring submission of full names, birth dates, Social Security Numbers, and home addresses for all employees and subcontractors to obtain JTF-NCR-issued badges, which must be visibly displayed at all times during operations. Contractor staff must carry photo identification, valid driver’s licenses, and proof of vehicle insurance during all duty periods and possess any required occupational licenses with copies on their persons. All performance is subject to a 100% inspection standard by the government to ensure strict adherence to specifications, and the contractor must implement internal quality control measures to meet the Performance Work Statement requirements. Compliance with local, state, and federal environmental, safety, and licensing regulations is mandatory. The contractor must report all labor hours, including those from subcontractors, via the ECMRA portal on a government fiscal year basis (October 1 through September 30) and submit invoices no later than five business days after completion of services. A Contracting Officer’s Representative will be appointed to monitor performance but will have no authority to modify contract terms.
