RFQ - Multifunction Copier, Printer, and Scanner services

The Port of Newport is soliciting proposals for the replacement of two multifunction office printers, copiers, and scanners to be installed at 600 SE Bay Blvd and Marine Science Drive. Vendors may propose purchase, lease, or lease-to-own options, with a target installation window of February to March 2027. The anticipated contract term is five years, and the Port will evaluate proposals based on a five-year total cost of ownership, equipment capabilities and features, service and support, and vendor experience. A cloud-based print management solution is required as part of the technical specifications. The selected vendor must adhere to strict performance standards, including a minimum 98 percent equipment uptime, a response time of four hours or less during normal business hours, and next-business-day onsite service. Additional requirements include automatic toner fulfillment, the provision of loaner equipment during extended outages, and data destruction certification at the end of the term. Proposals must be submitted in PDF format via email to Mark Brown by October 30, 2026. The contractor is required to comply with federal and Oregon state laws, including the Oregon Public Contracting Code and state tax laws, and must maintain workers compensation coverage.
