ENTERPRISE PATIENT MEAL SERVICE
The Santa Clara Valley Healthcare (“SCVH”), which comprises Santa Clara Valley Medical Center (SCVMC), O’Connor Hospital (OCH), St. Louise Regional Hospital (SLRH) and potentially Regional Medical Center (RMC) is seeking proposals from qualified vendors to provide an enterprise patient meal service system with associated application implementation, training, maintenance and support services. The purpose of this Request for Proposal (RFP) is to acquire a system that is able to usher SCVH’s nutrition and food services departments to above standard food service delivery. This RFP addresses the SCVH’s needs for a solution focused on hospital nutrition delivery. The SCVH will evaluate vendors’ responses to this RFP based on how well their solution meets the requirements for nutrition and food delivery as defined in this document.   The mandatory requirements for the proposed system are: 1. Integration with Epic for diet orders and applicable patient information. 2. Vendor Hosted (Cloud Based) 3. Web‐based meal ordering capabilities with Apple iPad’s to ensure compliance with patients’ diet orders and nutrition goals. 4. System capable of complying with Centers for Medicare and Medicaid Services (CMS) requirements.
The enterprise patient meal service system will enable the SCVH to advance management of diet orders, menus, and food delivery; mitigate nutrition errors; improve tray accuracy; increase patient meal satisfaction and minimize food and beverage wastage. The County’s current nutrition and food service was secured prior to the acquisition of additional hospitals.  The County believes that it will be more effective to replace the current solution with one that can scale effectively and bring improvements by utilizing the latest technologies, training, and best practices. The County will require a Vendor Hosted Solution.  Vendor Hosted Solution is also termed interchangeably as Software as a Service (SaaS) or Cloud Service Provider (CSP).  Proposers may submit only one proposal.  The proposed solution must be a proven base system. The SCVH is not interested in beta systems or purchasing professional services to design and develop a system. The integrated solution must meet the technical, and functional (business) requirements as defined in this RFP. This RFP may result in a single award.  If an award is made, it is the County’s intent to award a contract with a term of up to five (5) years, with the option by County to renew additional terms, unless terminated earlier or otherwise amended.  The County will hold a pre-proposal conference on the date and time specified in Section III.A of this RFP. All vendors intending to respond to this RFP should attend the pre-proposal conference either in person or via the teleconference line provided. While the RFP is comprehensive, there maybe further information and details about the project disclosed at the pre-proposal conference which may not be captured in the solicitation documents.
