The City of Clermont is seeking information from qualified firms that specialize in event banner installation/removal and flag display installation/removal and maintenance services. This request for information (RFI) aims to gather vendor data to compile a list for potential future competitive solicitations such as Invitations to Bid (ITB), Requests for Quotations (RFQ), or Requests for Proposals (RFP). Although this RFI itself is not a solicitation or a contract award, the information collected will help the City design future procurement strategies and possibly develop formal solicitations. The anticipated scope includes year-round banner installations over public roadways for City-sponsored events, requiring coordination to install banners ahead of events, traffic control during installation, and removal before severe weather. Seasonal flag display services include installing, maintaining, and removing American flags at various pre-designated permanent mount locations, with ongoing maintenance during display periods as well as removal ahead of adverse weather conditions. The City may supply flags, mounts, and event banners, while contractors must furnish all necessary tools, equipment, and vehicles, adhering to safety protocols and any site-specific restrictions. Certain areas or flagpoles might be excluded from the contractor’s responsibilities and maintained by City personnel, with exclusions detailed in future solicitations. Vendors interested in responding must submit company and primary contact information by email referencing RFI 26-057 by the specified deadline. The City utilizes OpenGov's e-Procurement Portal for bid notifications and submissions, encouraging vendor registration to streamline future procurement participation. The City reserves the right to accept, reject, or clarify responses and does not guarantee inclusion on the vendor list or solicitation invitations based on RFI responses.
