AI Contract Overview
The Office of the Chief of Staff at the Centers for Disease Control and Prevention plans to modify its existing sole-source contract with BeVera Solutions, LLC to expand limited meeting support services for Federal Advisory Committees under the Office of the Director. BeVera currently provides end-to-end logistical and operational support for these committees, including planning, coordination, facilitation, and production of compliant meeting deliverables such as minutes and documentation that meet GAO Report 20-575, 41 C.F.R. §102-3.165, and Section 508 accessibility standards. Services are primarily conducted at the Global Communications Center in Atlanta, Georgia, and are critical to maintaining compliance with the Federal Advisory Committee Act. The contract’s current period runs through September 2027, and continuing with BeVera is deemed essential due to its deep institutional knowledge, established infrastructure, and experienced staff, whose replacement would risk delays, increased costs, and noncompliance, particularly during periods requiring urgent meetings such as respiratory virus season. While this modification is being issued on a sole-source basis, the government has issued a presolicitation notice to allow other responsible sources to submit capability statements by August 24, 2026, referencing Solicitation No. 0000HCAT-2026-99754. Submitting firms must demonstrate proven experience, available resources, and the capacity to meet all requirements without compromising quality, accuracy, or schedule. All submissions must be sent by email to the Contracting Officer; telephone responses are not accepted, and proposers must be registered in the System for Award Management. The government retains full discretion to determine whether competition is warranted and will not reimburse any costs associated with proposal preparation. The primary point of contact for inquiries is Cole Mullis, reachable via email and phone as listed in the notice.

Full Description
he Office of the Chief of Staff (OCS), Centers for Disease Control and Prevention (CDC), intends to award a sole-source contract modification under Contract No. 75D30123C17757 with BeVera Solutions, LLC for additional, limited meeting support services. OCS manages the Office of the Director's Federal Advisory Committees in accordance with the Federal Advisory Committee Act (FACA), Public Law 92-463. BeVera currently provides logistics and meeting support for CDC Office of the Director FACA meetings under the contract with a current period of performance from September 22, 2023, through September 21, 2027. The contractor provides comprehensive logistics and meeting support for Federal Advisory Committee meetings held at the Global Communications Center (GCC) in Atlanta, Georgia, including planning, coordination, facilitation, and production of required meeting deliverables.
BeVera possesses extensive institutional knowledge, established logistical infrastructure, and experienced personnel who support mandatory FACA deliverables, including meeting minutes and documentation that comply with GAO Report 20-575, 41 C.F.R. § 102-3.165, and Section 508 accessibility requirements. Transitioning these services to another contractor would require significant onboarding and knowledge transfer, creating unnecessary duplication of cost, increasing the risk of delays in meeting statutory FACA requirements, and jeopardizing CDC's ability to support time-sensitive advisory committee meetings, particularly during respiratory virus season when meetings may be required on short notice.
This notice is not a request for competitive proposals. However, any responsible source believing it can satisfy the Government's requirement may submit a capability statement referencing Solicitation No. 0000HCAT-2026-99754 no later than 24 August 2026 at 8:00 a.m. ET. Responses must demonstrate the firm's experience, resources, and ability to perform the requirement without compromising quality, accuracy, reliability, or schedule. The Government will consider all information received but reserves the sole discretion to determine whether competition is appropriate. The Government will not reimburse respondents for proposal preparation costs. Telephone responses will not be accepted, and all capability statements and questions must be submitted by email to the Contracting Officer. Interested firms must be registered in the System for Award Management (SAM) at https://sam.gov.
