Ice Machine Preventive Maintenance

This contract solicitation, issued by the Department of Veterans Affairs through the 255-NETWORK Contract Office 15, seeks a Service-Disabled Veteran-Owned Small Business (SDVOSB) to provide quarterly preventive maintenance, cleaning, descaling, and sanitizing services for ice machines located primarily at the Colmery O’Neil VA Medical Center in Topeka, Kansas, and at the Junction City Community Based Outpatient Clinic (CBOC). The contract covers a base year starting July 1, 2026, with four additional option years extending the performance period through June 30, 2031. The contractor is required to supply all labor, supervision, tools, equipment, and materials necessary to complete the maintenance work per the Performance Work Statement and in accordance with manufacturer specifications, applicable federal, state, and local regulations, and safety standards like OSHA, NEC, and Life Safety Codes. The solicitation is a total set-aside for SDVOSB concerns, and award will only be made to qualifying firms; otherwise, the solicitation will be canceled and reissued. Key contract compliance elements include adherence to infection control practices, use of EPA Section 608 certified personnel for refrigerant handling, and maintaining Safety Data Sheets. The contractor must coordinate scheduling with the Contracting Officer’s Representative (COR), who oversees performance monitoring, service verification, and access control. Services require timely submission of detailed field service reports within two business days of completion and a quarterly maintenance schedule submitted ten business days before each quarter begins. The contract mandates 100% servicing of listed machines quarterly, with high thresholds for acceptable quality levels and remedial provisions including re-performance at no cost if standards are not met. Government-furnished water filters will be supplied for replacement, with the contractor responsible for disposal per applicable environmental policies.
