Queen’s University at Kingston is soliciting proposals for a Vendor of Record (VOR) to provide charter passenger coach services, specifically featuring deluxe motor coaches with 56 seats and mid-sized coaches with 33 seats. This contract aims to support travel needs across various Queen’s departments and faculties, excluding Athletics and Recreation, with services required year-round but primarily during the academic months of September to April. The anticipated annual spending for these services is approximately $250,000, with peak demand typically occurring in January, June, and November. Travel destinations focus mainly on southern and eastern Ontario, with occasional trips extending beyond provincial borders. Interested suppliers must hold all necessary licenses and registrations to operate in required jurisdictions, including valid Commercial Vehicle Operating Registrations, public vehicle operating licenses for all proposed service zones, and extra-provincial operating licenses when servicing other provinces or the U.S. The contract term is three years. Bookings will be decentralized, managed by staff in individual departments rather than by centralized travel personnel. Proposals are to be submitted electronically by the specified deadline, and additional requirements are outlined in an included appendix. The Request for Proposal was issued in late November 2025, and the submission deadline is set for January 21, 2026.
