Activity Guide Printing

The City of Nanaimo is seeking proposals from qualified printing companies to produce its bi-annual Parks, Recreation and Culture Activity Guides. The contract is for an initial one-year term starting January 3, 2027, with the possibility of four additional one-year extensions. The scope of work involves printing approximately 7,000 guides per run, typically ranging from 96 to 104 pages with a self-cover. The selected supplier will be responsible for creating PDF proofs, printing, saddle stitching, and delivering the guides F.O.B. Destination to four specific city facilities: Beban Park Recreation Centre, Bowen Park Complex, Nanaimo Aquatic Centre, and Oliver Woods Community Centre. Deliveries are expected during the last week of February for the Spring/Summer guide and the last week of July for the Fall/Winter guide. Proposals will be evaluated using a weighted scoring method across technical criteria, including qualifications, methodology, previous work samples, quality assurance, and sustainability, as well as pricing. A minimum technical score of 55 points is required for compliance. The contract mandates that proof creation and printing cannot be subcontracted, though binding and shipping may be. Suppliers must maintain a minimum of $2,000,000 in automobile liability insurance and remain in good standing with WorkSafe BC. Payment is issued in Canadian Dollars via Electronic Funds Transfer on Net 30 terms. This solicitation is subject to the New West Partnership Trade Agreement, the Canadian Free Trade Agreement, and the Canada-European Union Comprehensive Economic and Trade Agreement.
