Scope: This RFP seeks to engage an experienced and qualified vendor to operate the city’s current A/V system, with all components to produce and broadcast public meetings. The City intends to execute an agreement with a qualified vendor for a two (2) year term with the option to renew for one (1) or two (2) year term. The following items represent the scope of work to be performed:
1. Produce, record, and broadcast approximately 40 annual public meetings per year, including City Council (24), Planning Commission (12), and Police Advisory Commission (4). Regular City Council meetings are generally two Tuesdays per month at 9am or 5:30pm with an average duration of 2-6 hours; Planning Commission is generally one Thursday per month at 3pm with an average duration of 2-3 hours; and Police Advisory Commission varies quarterly with an average duration of 1-2 hours. The City may call special meetings on occasion, including special closed session meetings that generally start one hour before the regular City Council meetings. The special-called meetings or additional meetings are not limited to City Council, Planning Commission, or Police Advisory Commission. Live broadcasts shall include agenda graphics, natural transitions, and bottom thirds for agenda item and/or speaker identification.
