Event and activity coordinator and producer

The National Research Council Canada is seeking one or more qualified service providers under a standing offer to coordinate and produce virtual and hybrid activities. These events typically range from 500 to 3,000 participants and are performed within the National Capital Region. A primary focus of this solicitation is the production of the Celebrating the Success of Women in STEM Symposium scheduled for February 2024, which is expected to host between 1,000 and 2,500 participants. The scope of work includes comprehensive project management, the development of a bilingual web platform compliant with WCAG 2.1 Level AA standards, registration management, and the production of approximately 12 to 15 hours of live programming over three days. The maximum budget for the initial symposium project is 85,000 CAD plus taxes. This is an open competitive bidding process with a rigorous evaluation framework requiring a minimum passing score of 75 percent. Key requirements for the service provider include the provision of bilingual lead consultants and demonstrated experience in organizing large-scale virtual activities. The selected provider will be responsible for all aspects of event planning, bilingual webcasting, and the delivery of post-activity reporting.
